Women’s Foundation of Mississippi Operations Manager
Job Summary
This position reports to the Deputy Director and supports overall organization operations and projects.
Duties include general office management such as working with vendors, supporting bookkeeper in
processing invoices and payments, supporting events and grant management, and liaising with team
members.
Additional tasks include data entry, fundraising support including donor tracking, outreach,
and acknowledgments, and executive support. The Manager works collaboratively with Foundation
personnel as well as with external stakeholders at various levels and may perform other project
management duties as necessary to assist in the overall success of the Foundation.
Responsibilities:
- Personal commitment to the mission of the Women’s Foundation of Mississippi.
- Coordinate invoice processing and payments with bookkeeper on a weekly basis. Track accounts
payable and accounts receivable. - Support fundraising efforts of the organization. Includes: event logistics, weekly processing of
donations and donor acknowledgment letters, maintaining control and accuracy of all gifts and
other income – input donor information into database (Network for Good), create and manage
lists, and run reports. - Coordinate office operations including supplies, mail, and managing vendor related (IT, phones,
printing, various software platforms, etc.) relationships and organization needs. - Maintain up to date and well-organized files (digital and hard copies) for all vendors and
grantees as directed. - Serve as point person for all systems, databases, etc. at the Foundation and make
recommendations about how to continue to evolve processes and systems. Along with the
Deputy Director, ensure all office staff are in compliance with the financial and donor processing
operations as laid out in the written WFM checklists. - Draft reports and other collateral for donors and stakeholders. Work with bookkeeper, Deputy
Director and Executive Director to prepare budget reports for the Board and funders. - Support grantmaking process including data entry, coordination of grantee information and
reports, meeting and webinars. Ensure timely receipt of appropriate paperwork and
subsequent grant payment to grantees. - Support Foundation programs such as advocacy and leadership trainings, public education, and
community engagement activities. - Provide logistical assistance for assigned meetings, projects, and public events. Includes
facilitating relationships with venues and communicating with key stakeholders. - Assist Executive Director and Deputy Director in preparing the annual operating budget and
facilitating the annual audit process. - Assist Deputy Director with HR functions as assigned.
- Provide administrative support to Executive Director as requested.
- Maintain office calendar and confidential files.
- Other duties as assigned.
Compensation and Benefits
The target salary range for this position is $47,000 – $57,000.
